Vendor Terms FOTW 2026

Taxes/ Release & Waiver of Liability

  • Vendors are responsible for collecting and remitting Texas State Sales Tax as required.

  • Must sign and mail / email a release and waiver of liability form with registration to participate.


Set-up/ Tear-down

  • Booths set up will be from 8:00 am to 10:00 am on Saturday, November 7. 2026

  • Tear down will begin at 5:00 pm on Saturday, October 10th;

  • No early tear downs please!

  • Hand carts are recommended to help make your load-in and load-out process quicker and easier. 


Booth Fee

  • $55 for 10x10 space.  

  • No electricity can be provided 

  • Please provide your own tables, tents and displays. Tents required. 

  • This is an outdoor event. Event will take place rain or shine


In consideration for participating in the public events held by the Saint Francis Wolf Sanctuary in 2026, I hereby release, waive,  discharge, and covenant not to sue, and agree to hold harmless for any and all purposes, Saint Francis Wolf Sanctuary (SFWS) and  their representatives from any and all liabilities, claims, demands, or injury, including death, that may be sustained by me while  participating in such activity, or while on the premises that is owned, leased, or controlled by SFWS, including travel to and from  Open Day activities, including injuries sustained as a result of the negligence of SFWS. 

Exhibitor agrees that exhibitor is solely responsible for any loss or damage to its property while the same is in transit to or from  SFWS sponsored events, or while exhibitor’s property is participating at an SFWS sponsored event.. Exhibitor agrees that within the  confines of the space provided to exhibitor, neither SFWS nor their representatives shall be held liable or responsible for property  loss, property damage, or any bodily injury to the exhibitor or exhibitor’s employees, guests, or visitors. Exhibitor is responsible for  obtaining appropriate insurance coverage. 

Exhibitor shall be liable for any property damage or personal injury to any individual caused by exhibitor or exhibitor’s employees or  representatives. Exhibitor shall defend, indemnify and hold harmless SFWS, its officers and representatives from and against all  claims, actions, suits, demands, proceedings costs, damages, and liabilities, arising out of, connected with, or resulting from any acts  or omission of exhibitor or any employee representative of exhibitor participating in any particular SFWS public event. 

By my signature on the booth registration webform and by submitting my payment, I agree that I have read and voluntarily signed the release and waiver of liability and indemnity  agreement, and further agree that no oral representation, statements, or inducements, apart from the foregoing  agreement that has been reduced to writing have been made.
